Company bike rental: what your proposal should include

An employee bike proposal starts with the journeys a company wants to support. For a team in Bucharest or Cluj, bike selection, parking and services need to be considered together. A clearly defined contract turns that intention into a programme people can use every week.

1. Define who will use the bikes and why

A bike assigned to one employee can support a regular commute. A shared fleet can serve journeys between offices or nearby meetings. These uses need different rules for overnight storage, booking, access outside working hours and returns. Defining them before selection helps avoid paying for options that do not meet the actual need.

Start with a short, voluntary survey covering approximate distances, experience, barriers and interest in a trial. Include colleagues who do not yet cycle. Their answers may show that an accompanied journey or secure parking should take priority over expanding the fleet.

2. Compare the complete specification

Ask the proposal to specify the model, available sizes, accessories, lock and handover preparation. For e-bikes, assess range against expected use, charging arrangements and access to servicing. An advertised range does not replace an assessment of the route, load and operating conditions.

Arrange a trial before finalising the specification. Saddle adjustment, starting, braking and manoeuvring into parking must work for the intended users. If company branding matters, describe customisation separately, including costs, lead times and approved artwork.

3. Put services and responsibilities in the contract

Compare proposals over the same term and with the same scope. Separate bike provision, any equipment installation, scheduled servicing, consumables and unscheduled repairs. Specify who receives fault reports, where repairs happen and whether a replacement is included. Maintenance intervals should reflect use and technical recommendations.

Clarify damage, theft, insurance, personal use and the end of the contract. Ownership and any purchase option must be explicit. Tax and accounting treatment must be checked for the contracting entity and country; arrangements from a French programme do not automatically apply in Romania.

4. Prepare users and the arrival facilities

At launch, allow time for handover, adjustments, using electric assistance and reporting a fault. Check workplace parking and explain access arrangements. A basic maintenance workshop can complement induction, while a follow-up session helps address difficulties encountered during the first journeys.

The European Commission includes awareness campaigns and workplace incentives among mobility management tools. In practice, a company can connect bike provision with a programme of activities suited to its team, with voluntary participation.

5. Review before expanding

Track active bikes, availability, repairs and feedback. The number delivered alone does not show whether a programme works. Compare these observations with the original objective and decide what needs adjusting: sizes, access, training or capacity.

BICILUM coordinates equipment selection, user services and maintenance within the agreed scope. For a project in Romania or France, request a feasibility assessment and a technical and financial proposal adapted to your workplace, team and intended term.

FAQ

Practical questions

Does rental automatically include maintenance?+

The scope depends on the proposal. Servicing, parts, technician travel and any replacement bikes must be specified in the contract.

Can we start with a small team?+

Yes. An annual programme can be sized around demand, the site and the budget. Bike numbers and commercial terms are defined in the proposal.
